Privacy Policy

What We Collect
- Email address, full name, and optional phone number at signup.
- City and state for search and matching purposes.
- Coach profile data: bio, photo, availability, lesson offerings, certifications, and social links.
- Booking requests and lesson records (dates, lesson type, messages).
- Reviews and ratings: star ratings (1–5), public comments, and private notes you submit after a completed lesson. Public comments are stored but are not currently displayed publicly; we may display them in the future and will update this policy when we do.
- Abuse reports and moderation records: reports you file against other users, rebuttals you submit, and any moderation actions taken on your account (strikes, suspensions, cancellation-dispute records).
- Email and communication preferences: your subscription status for marketing emails and transactional notification preferences, plus standard email-engagement metadata (delivery status, bounces) that our email provider records.
- In-app inbox messages: messages sent to you by platform administrators or event/group organizers through the in-app inbox. These messages are automatically deleted after 30 days.
- Events, leagues, and standings data: events you host or join, results entered by organizers, and standings or rankings derived from those results.
- Notification preferences.
- Technical data: IP address, browser type, and usage logs for security and debugging.
How We Use It
- To match students with coaches and facilitate lesson bookings.
- To send transactional notifications (booking confirmations, reminders, event updates) as part of providing the service.
- To send optional marketing emails (product newsletters, new-feature announcements) only if you have consented; you may withdraw consent at any time.
- To display coach profiles publicly when coaches are marked as live.
- To store and, in future, display reviews and ratings submitted by users.
- To administer platform moderation: reviewing abuse reports, issuing account actions, and maintaining records of disputes and appeals.
- To deliver in-app inbox messages from admins and authorized organizers.
- To compile and display event results, standings, and rankings.
- To maintain platform security and investigate abuse.
We do not sell your personal data to third parties.
Data Retention
We retain your data for as long as your account is active. After you delete your account, we purge your personal data within 90 days, except where retention is required by law or for legitimate business records.
- In-app inbox messages are automatically deleted 30 days after delivery, regardless of whether your account is active.
- Moderation records (reports, strikes, appeals) may be retained beyond the standard 90-day post-deletion window to the extent necessary to enforce platform rules, defend against claims, or comply with legal obligations.
- Review and ratings data is retained for as long as your account is active and for up to 90 days after account deletion, subject to any content you publicly submitted that we may de-identify or retain in aggregate form.
- Email engagement records (delivery status, opt-out records) are retained to demonstrate compliance with applicable law and to honor opt-out requests going forward.
Reviews, Ratings, and User-Generated Content
When you submit a review, rating, or comment, that content is stored on our servers. Public comments you submit are associated with your account and may, in the future, be displayed on the platform. By submitting a review or comment, you grant Apex Dynamics a non-exclusive, worldwide license to store, display, and moderate that content in connection with operating the platform.
You retain ownership of content you create. You are solely responsible for the accuracy and lawfulness of what you submit. We do not independently verify the accuracy of any review or rating. Reviews and ratings reflect the personal opinions of the user who submitted them and do not represent the views or endorsement of Apex Dynamics.
Email Communications
We send two categories of email:
- Transactional emails— booking confirmations, lesson reminders, event updates, account and security notifications. These are sent as part of the service and are not subject to marketing opt-out; however, you can adjust which transactional notifications you receive in your Account > Notification Preferences settings.
- Marketing emails— product newsletters and new-feature announcements. These are sent only with your consent. You may withdraw consent at any time by clicking the one-click unsubscribe link in any marketing email, or by visiting Account > Notification Preferences. We will honor opt-out requests within ten business days. Opting out of marketing emails does not affect transactional messages.
All commercial emails from us will include our business name and a valid postal address as required by applicable law. To unsubscribe from marketing emails or to request a change to any communication preference, you may also email privacy@apexdynamics.app.
In-App Inbox
The in-app inbox allows platform administrators and authorized event or group organizers to send you messages. There is no user-to-user messaging via the inbox — only admins and organizers acting in an official capacity may send inbox messages. All inbox messages are automatically deleted 30 days after delivery. We retain metadata about message delivery (sender, recipient, timestamp) for a reasonable period for abuse-prevention and operational purposes.
Your Rights
- Access & export: Email us and we will provide a copy of your data.
- Correction: Update your profile directly in settings, or email us.
- Deletion:Use the “Delete Account” option in your Account settings, or email us. See the Data Retention section for exceptions that apply to moderation records.
- Opt out of marketing email:Use the unsubscribe link in any marketing email, or update your preferences in Account > Notification Preferences.
Depending on your jurisdiction, you may have additional rights (e.g., right to object to processing, right to restriction, portability). Contact us at the address below to exercise any data rights.
Cookies & Tracking
We use session cookies (via Supabase Auth) to keep you logged in. We do not use third-party advertising or tracking cookies.
